Translating Bahasa Malaysia documents for a visa? The four details Australia wants on every page
Tips · 2026-10-21 · 10 min read

To translate documents from Bahasa Malaysia to English for an Australian visa, you can use a translator in Malaysia: Home Affairs does not require accreditation from translators outside Australia. What it does require is four details in English on each translation (the translator's full name, address, telephone number, and their qualifications and experience in the language), plus the original document uploaded alongside it. New Zealand sets its own document rules, so check them on the visa page before you order anything.
Which of your documents need an English translation
Home Affairs says every document that is not in English must be translated into English, and both the original and the translation must be provided. There is no list of "safe" Malaysian documents: what matters is the language on the page.
Go through your folder page by page. A birth certificate, marriage certificate, school results, an SKM certificate, an employment letter, a payslip or a reference written in Bahasa Malaysia each needs its own translation. A document that is half English and half Bahasa Malaysia needs the Bahasa Malaysia parts translated too, including stamps and handwritten notes that carry meaning.
If you are applying for a sponsored job, your employment letters matter more than most. Skills assessors and case officers read what you actually did, which is why assessors read your duties, not your name card.
The four places Wisma Putra lists for Bahasa Malaysia translations
On its attestation of documents page, Wisma Putra (the Ministry of Foreign Affairs) names these places for translating documents between Bahasa Malaysia and English:
- A Malaysian Court Translator.
- The Malaysian Institute of Translation & Books (Institut Terjemahan & Buku Malaysia, ITBM).
- The Malaysian Translators Association (PPM) / Dewan Bahasa dan Pustaka (DBP).
- Translators certified by a foreign embassy or high commission in Malaysia.
Australia's rule is about what the translation shows, not which office made it, but a translator from this list can state the language qualifications and experience Home Affairs wants written down.
A cousin with good English or a free online tool cannot give the officer that.
What Home Affairs wants on every translation made outside Australia
The rule is the same on the Work and Holiday (subclass 462) visa page and on the Skills in Demand (subclass 482) Core Skills stream page: a translator outside Australia does not need to be accredited, but must put these details, in English, on each translation.
| Where the translator works | Accreditation needed | What each translation must show |
|---|---|---|
| In Malaysia (or anywhere outside Australia) | No | Full name, address, telephone number, and qualifications and experience in the language, all in English |
| In Australia | Yes, NAATI (National Accreditation Authority for Translators and Interpreters) | A translation from a NAATI-accredited translator |
| Queensland licence transfer (not a visa) | Yes, a NAATI translator | A recognised English translation, with original documents |
"Each translation" is the part people skip. One cover letter followed by ten bare translations does not meet it.
Read the translation before you pay the balance. Names must match your passport spelling exactly, dates must be in a clear format, and the document number on the translation must match the original.
Our guide to the Skills in Demand (482) visa for Malaysians explains where these documents fit in the employer-sponsored process, and the Build AI CV tool can help you turn translated job titles and duties into a clear English CV that matches them.
When Wisma Putra attestation comes in
Attestation is a separate step from translation. Wisma Putra's Consular Division attests documents such as statutory declarations, birth certificates and educational certificates, which validates their stamps and signatures before they are used outside Malaysia.
From Wisma Putra's page:
- It is walk-in. Bring your Identification Card or passport, and an authorisation letter if someone goes for you.
- Documents can normally be collected the same day, or at the latest the following working day.
- Educational certificates must first be endorsed by the Ministry of Education, the Ministry of Higher Education or the Department of Education before Wisma Putra will attest them.
Malaysia is not listed as a Contracting Party on the HCCH status table of the Apostille Convention, which counts 130 Contracting Parties. So if an overseas body asks for an apostille, a Malaysian document cannot carry one; attestation is the Malaysian route instead.
The Home Affairs translation rule does not ask for attestation: do it only when the body receiving the document asks.
New Zealand: check the visa page before you order translations
Immigration New Zealand publishes its document requirements on each visa's own pages; do not assume the Australian rule carries over.
For the Malaysia Working Holiday visa, timing matters more than translation. If asked, police certificates must be less than 6 months old and medical results less than 3 months old, and your passport must stay valid for at least 3 months after the visa expires. Our guide to the New Zealand working holiday visa for Malaysians covers the rest of that visa.
For a sponsored job, our guide to working in New Zealand from Malaysia on the AEWV explains the employer side.
Step by step: getting Bahasa Malaysia documents ready for a visa
- Read the document list for your exact visa on the official page (Home Affairs or Immigration New Zealand) and note which documents you must upload.
- Sort your papers into two piles: already in English, and wholly or partly in Bahasa Malaysia.
- Check whether any receiving body (a skills assessor, a licensing office or the visa page) asks for attestation. If it does, get educational certificates endorsed by the right education ministry or department first, then take them to Wisma Putra.
- Choose a translator, starting from the Wisma Putra list, and confirm before paying that their full name, address, telephone number and language qualifications and experience will be in English on each translation.
- Check every translation against the original: name spelling as in your passport, dates, document numbers, stamps and signatures noted.
- Scan the original and its translation as a pair, page by page, and name the files so each pair stays together.
- Keep the paper originals at home unless an official body asks for them.
Police certificates and other papers with an expiry date
Some documents run out while you wait for translations. Malaysia's police certificate is the Certificate of Good Conduct (Sijil Kelakuan Baik, SKB), applied for on the e-Konsular system with screening by PDRM. If any certificate you receive is not in English, it needs translating like any other document.
| Document | Official time limit | Planning tip |
|---|---|---|
| Certificate of Good Conduct (SKB) | Valid 1 year from approval; processed within 30 working days of a complete application | Upload a job offer letter as the supporting document when it is for work overseas |
| Police certificates for an Australian visa | Valid 12 months from the issue date | Must cover the time from age 16, or the whole time you lived in that country |
| Police certificates for the NZ Malaysia Working Holiday visa | Less than 6 months old, if asked | Apply close to lodging, not months before |
| Medical results for the NZ Malaysia Working Holiday visa | Less than 3 months old, if asked | Book after your other papers are ready |
Home Affairs may also ask for a police certificate from every country you lived in, usually if you were over 17 and lived there for at least 12 months in the past 10 years. If you worked in Dubai or elsewhere in the Gulf, EmiratesPrime's guide to Gulf police clearance for an Australian visa explains that side.
The certificate fee is small (RM20.00 on e-Konsular), but translations, flights and tests add up; see the ringgit sums to plan before you book a flight.
A worked example: an SKM holder applying from Penang
Say you are a metal fabricator in Penang with an SKM, two employment letters in Bahasa Malaysia and an English payslip, and you are applying for a boilermaker and metal fabricator job in Perth. The payslip goes in as it is; the letters and any Bahasa Malaysia pages of the SKM go to a translator, with the four details on each.
If the job needs a skills assessment, read the assessing body's own instructions before ordering translations: Home Affairs says a mandatory 482 skills assessment must be started before the visa application is lodged. More roles like this sit under our manufacturing jobs abroad.
Common mistakes Malaysians make with visa translations
- Uploading the translation without the original. Home Affairs asks for both; a translation on its own is incomplete.
- Missing translator details. A translation with no name, address, phone number or language qualifications and experience does not meet the rule for translators outside Australia.
- Paying an "ejen" for a translation bundle. Scamwatch advises never sending your passport or identity documents to an employer or recruitment firm unless you are certain they are genuine. If you already paid someone who vanished, read what to do in the first 24 hours after paying.
- Name spellings that do not match the passport. Ask the translator to follow your passport spelling.
- Assuming a visa translation works everywhere. Queensland wants a NAATI translator for a licence transfer, and Malaysia is not on its recognised countries list, so you also sit a road rules test and a practical driving test.

Frequently asked questions
Does my translator in Malaysia need NAATI accreditation for an Australian visa?
No. Home Affairs says translators outside Australia do not have to be accredited. They must instead put their full name, address and telephone number, and their qualifications and experience in the language, in English on each translation. Only translators working in Australia must be NAATI accredited.
Who can translate Bahasa Malaysia documents into English in Malaysia?
Wisma Putra lists four options: a Malaysian Court Translator, the Malaysian Institute of Translation & Books (ITBM), the Malaysian Translators Association (PPM) / Dewan Bahasa dan Pustaka (DBP), and translators certified by a foreign embassy or high commission in Malaysia. Whoever you choose, check that their details will appear on each translation.
Do I upload only the English translation?
No. Home Affairs asks for both the original document and its English translation. Keep a clear scan of every page of the Bahasa Malaysia original next to the matching translation, so the officer can compare the two.
Is Wisma Putra attestation the same as an apostille?
No. Malaysia is not listed as a Contracting Party on the HCCH status table of the Apostille Convention, so a Malaysian document cannot carry an apostille. Wisma Putra attestation instead validates the stamps and signatures on documents such as birth certificates and educational certificates before they are used outside Malaysia.
Can the translation I made for my visa be reused for a Queensland driving licence?
Not always. Queensland asks for a recognised English translation from a NAATI translator when an overseas licence is not in English, and all documents must be originals. A translation made by a translator in Malaysia can meet the visa rules and still fall short for the licence transfer.
Key takeaways
- Every document not in English needs an English translation, uploaded with the original.
- Translators in Malaysia need no NAATI accreditation for an Australian visa, but must show four details in English on each translation.
- Wisma Putra lists Court Translators, ITBM, PPM / DBP and embassy-certified translators for Bahasa Malaysia to English work.
- Attestation is separate from translation; do it when the receiving body asks, with educational certificates endorsed first.
- For New Zealand, read the visa's own page and time police certificates and medicals to its limits.
